Terms & Conditions of Booking
The following information and conditions serve as your binding contract with Freedom Travel. Please read all the information and the tour description of the individual tours.
Please refer to the individual tour description for details of deposit payments. Your reservation is not confirmed until your deposit is received by Freedom Travel. All prices are shown in Canadian dollars and can be paid by Visa, MasterCard, American Express, Debit, Cheque or Cash. Verbal authorization of the use of your credit card commits you to your reservation whether or not you have signed a credit card receipt.
On occasion we may have to request an interim payment in order to secure tour components. On motorcoach tours your holiday balance is due 40-90 days prior to departure. Please refer to individual tour descriptions for details of your balance payment.
In the event you have to cancel, regardless of the reason, cancellation and transfers are very costly and usually do not occur in time for resale. To offset these costs, the following fees will apply. In order to be fair to all, no exceptions can be made.
• Prior to final payment being made, deposit is 100% non-refundable
*After final payment: 100% non refundable.
*Cruise and Air Vacations have their own individual cancellation policies for deposit and balance payments.
• Day Trips are Non-Refundable.
To offset losses due to cancellation, Freedom Travel recommends that clients purchase travel insurance when making travel arrangements. Freedom Travel will require a signed Liability Release Form by any clients choosing not to purchase Travel insurance. We will not be responsible for any loss to those not purchasing Comprehensive Travel Insurance. We recommend RBC Travel Insurance.
While on the Motorcoach:
There are NO reserved seats on motorcoaches. To ensure that passengers share vantage points seats are rotated at the direction of the tour director. Smoking is not permitted on any transport contracted by Freedom Travel. Gratuities for tour directors, tour drivers, housekeepers or local guides are not included. Please be aware that each motorcoach is equipped with a washroom on board. Each tour itinerary ensures a break stop on average every two hours. We ask that the washroom on board be reserved for emergency use only. Please be aware that the washroom is not equipped with running water. Each passenger is entitled to one carry-on bag that they may keep with him or her aboard the coach. Depending on the equipment used, there may or may not be pockets on the back of the seats for storage.
US Customs regulations require that all coaches travelling into the United States provide a list of all passengers, with dates of birth and citizenship, before arrival. We ask your assistance in providing this information at the time of booking. As of June 1 2009 each passenger aged over 15 years will be required to have a valid Passport to enter the United States. For anyone travelling with a passport other than Canadian, please be aware of custom and Visa requirements for your country. This may change in 2009.
Freedom Travel is not responsible for denied entry into the United States or any other country. It is the responsibility of individual guests to ensure they have the proper travel documentation and identification for customs.
Passengers with no travelling companion, but wishing to share accommodation, may book on a ‘willing to share’ basis. Freedom Travel will attempt to find a suitable partner and will allow the interested parties to see if they are a suitable match. Freedom Travel will not automatically match passengers together. If a travelling companion can't be found, a single surcharge will apply.
Travellers who require Special Assistance:
Any traveller with a disability that requires special attention should be reported to Freedom Travel at the time a reservation is made. We will make reasonable attempts to accommodate the special needs of those passengers, but are not responsible if we are unable to do so.
Baggage is limited to 1 checked bag per person on coach tours and to baggage limits imposed by Airline/Cruise Operators.
On tour, Freedom Travel will make available a passenger list of your fellow travellers. If you do not wish to have your name published, we must be notified before the start of
Freedom Travel acts as an agent for the passenger in all matters connected with hotel and dining services, sightseeing tours and other suppliers of services and transportation, whether by rail, air, motorcoach, boat or by any other means. As agent, Freedom Travel holds itself free of responsibility for any damage, injury or loss resulting from any damage, and from the expenses or inconvenience caused by delays or cancellation of transportation services, changes of schedule, strikes, or other conditions beyond Freedom Travel’s control. Freedom Travel does not own or operate any of our suppliers of services. Freedom Travel is not responsible for cancellation penalties imposed by airlines or other transportation carriers.
Our tours require a minimum number of passengers to operate. In the unlikely event that minimum numbers are not achieved all monies paid will be refunded.
Change of Room Type:
If a member of your party cancels, the remaining passengers will be responsible for the difference in room charges.
Freedom Travel reserves the right to add a surcharge to our Group departures in the event of currency fluctuations. The prices quoted are in Canadian dollars and are based on fixed costs and currency exchange rates at the time of publication, and expected to be in effect at the time of departure. The price does not include airfare except where noted. Freedom Tours & Travel reserves the right to adjust prices in response to currency exchange rate fluctuations. Once full payment is received the price is guaranteed.
